Adminstrative Assistant

Location: Onsite (San Diego office).

An Administrative Assistant is responsible for supporting an administrative professional to help them stay organized and complete tasks that allow them to focus on more advanced responsibilities. Their duties include organizing meetings for Administrators, greeting office visitors and composing documents on behalf of Administrators.

Supervisory Responsibilities:

  • • This position does not have direct supervisory responsibilities.

Duties and Responsibilities:

  • Greet visitors entering reception area cordially. Answer phone calls politely and efficiently respond to administrative requests from clients, vendors, and employees.
  • Safety coordinator preparation and distribute safety information to employees.
  • Provides general administrative support to the Executive Assistant and Other Executives to include setting up meetings and taking minutes.
  • Support administrative operations to include mail distribution and shipping packages.
  • Order and maintain office supply inventory.
  • Ability in prioritizing workloads while ensuring priorities and deadlines are met.
  • Ability to work in a high paced environment and accommodate interruptions.
  • Ability to maintain flexibility to redirect work as a result of change in priorities.
  • Performs a variety of clerical duties, including expense report, filing, scanning, faxing, copying, typing, emailing, memos, letters, and other correspondence etc.
  • Assist with employee engagement, planning and execution of events, decoration of office, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Facilitate an organized and clean working environment to include break room.
  • Assist General Manager with scheduling office area maintenance.
  • Perform tasks as necessary to facilitate the smooth administration business.
  • Backup/support for Executive Assistant as needed and other duties as assigned

Required Skills/Abilities:

  • Proficiency in organizing and managing day-to-day administrative duties in a high-performance office
  • Adaptable to heavy workload situations
  • Highest degree of integrity and ability to maintain confidentiality
  • Strong attention to detail and written and verbal communication skills
  • Good to excellent spelling, grammar and written communication skills
  • Excellent telephone and oral communication skills Written and verbal communication skills
  • Must be proactive and self-motivated
  • The ability to work independently and work as an important member of a team

Education and Experience:

  • High school diploma, GED, or equivalent required.
  • Associate degree in related field preferred.
  • Proficiency with Microsoft Office suite including Outlook, Word, Excel, PowerPoint, and Access. Ability to utilize various software applications, the internet, and database management with a high degree of accuracy and speed.
  • Prior office experience is preferred.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Intermittent periods of standing.
  • Must be able to lift up to 15 pounds at times.
