Human Resources Assistant

Location: Onsite (San Diego office).


Human Resources Assistant performs a wide range of functions. Duties include but are not limited to recruiting, onboarding and offboarding new and existing employees. Helping to plan programs and processes designed to improve employee welfare. Along with managing and maintaining vital employee records and ensuring the smooth operation of the HR department.

Supervisory Responsibilities:

  • • This position does not have direct supervisory responsibilities.

Duties and Responsibilities:

  • Act as a point for contact for prospective employees, employees hiring managers, supervisors, and managers during onboarding and offboarding process.
  • Complete onboarding, and orientation for new employees by collecting and ensuring completeness of necessary hiring documentation, coordinating equipment assignment, and notifying payroll.
  • Execute the employee termination process by administering all paperwork, coordinating final paycheck processing and delivery, and coordinating with IT.
  • Coordinate equipment management with Business Information Services and Information Technology support.
  • Maintains accurate and up-to-date human resource files, records, and documentation for active and terminated employees.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Maintains the integrity and confidentiality of human resource files and records.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Provides clerical support to the HR department.
  • Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.
  • Performs other duties as assigned to include serving as a back up to other HR staff as needed.

Required Skills/Abilities:

  • Outstanding verbal and written communication skills.
  • The ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Operates with a high level of customer service and communication skills.
  • Excellent technical skills and ability to learn new systems and processes quickly.
  • Good problem solving and time management skills.
  • Strong organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite and related software.
  • Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications.

Education and Experience:

  • High school diploma, GED, or equivalent required.
  • Associate degree in related field preferred.
  • Prior related office experience required.
  • Interest in pursuing a career in Human Resources.
  • Prior experience in human resource roles is preferred.
  • I-9 reporting, and E-Verify experience preferred.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Intermittent periods of standing.
  • Must be able to lift up to 15 pounds at times.
